Contract: 40 hours/week, Monday - Friday, office-based 8 weeks
Job Description:
We are seeking a detail-oriented and proactive Purchasing Admin to join our team. In this role, you will be responsible for supporting the purchasing department by managing administrative tasks, processing orders, and ensuring timely delivery of materials and supplies. You will work closely with vendors, maintain accurate records, and assist with inventory management to ensure efficient operations.
Responsibilities:
- Provide general administrative support to the purchasing department and its functions.
- Mail merge documents to suppliers, track their return, and ensure their accuracy (Supplier contracts, questionnaires, RFI’s).
- Conduct data analysis, including analyzing competitor pricing and obtaining spec and COSHH sheets from suppliers.
- Build and maintain a library of documents on our centralized share drive.
- Process purchase orders and maintain accurate records of transactions.
- Communicate with vendors to confirm order details and delivery schedules.
- Monitor inventory levels and coordinate with suppliers to replenish stock as needed.
- Assist with sourcing new suppliers and negotiating contracts to secure favorable terms.
- Maintain and update purchasing databases and systems.
- Prepare reports and analyze data to support purchasing decisions.
- Resolve any issues or discrepancies with orders and deliveries.
- Collaborate with other departments to ensure seamless operations and support business needs.
Skills & Experience:
- Proven experience in a purchasing or administrative role.
- Highly experienced in Excel, including lookups, pivot tables, and formulas.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with purchasing software and inventory management systems is a plus.
- Ability to calculate and understand margins.
- Ability to work independently and as part of a team.
- Attention to detail and a high level of accuracy.
