This role responsible for a range of administrative duties including answers and transfers calls, takes and relays messages, greets and signs in visitors and provides other general clerical and administrative duties as required. In addition, the Receptionist must also work with the Sales and Marketing teams to assist in the planning and execution of Axis related events including factory visits, events and tradeshows.

Reception

  • Carry out the day-to-day execution of clerical duties to ensure an excellent administrative support
  • Takes and relays messages to appropriate individuals
  • Greets, signs in and provides visitors with access badges and ensures implementation of the security policy
  • Notifies appropriate internal individuals about visitors’ arrival
  • Receives packages and notifies appropriate individuals of package arrivals
  • Send out mail (post, couriers, FEDEX, etc.)
  • Attend to document management tasks including, filing and basic accounting tasks such as entering invoicing data in the system.
  • Ensure proper management of food budget (meals, fruits and snacks)
  • Create an inventory of office supplies, taxi vouchers and customer give aways/gifts
  • Assist team members on various projects where required (events, conferences, research, etc.)
  • Undertake any tasks as reasonably requested by the senior management team

Sales / Events Coordination

  • Maintain client satisfaction and positive relations with Axis Lighting external contacts
  • Works with Sales to plan customer experience during factory visit
  • Help coordinate trade shows
  • Organize other Axis events such as customer visits (transportation, hotel reservations, restaurants and activities)
  • Provide support to Sales team regarding the calendar and appointments as well as travel arrangements
  • Coordinates travel arrangements for Axis employees and managers with thecorporate travel agency
  • Coordinates lunch meeting for Axis staff
  • Be on call during important events

Software : Strong computer proficiency in MS Outlook, internet along with the ability to quickly learn other software applications,  MS Office

Skills: Excellent written and verbal communication skills English and French; Manage multiple tasks and achieve deadlines under pressure; Strong administrative skills including knowledge of operating standard office equipment; Exceptional customer service skills, over the phone and in person; Strong sense of urgency and problem solving skills; Detail-oriented and strong organizational skills.
