Purpose of the role  

At Colas Ltd. We are looking for an Administrator to provide administrative support for the ITS Street Lighting Business, the role will be based in Peacehaven, (BN10 8AP). To ensure all ITS administrative tasks are completed as required. This can include applying for permits and parking suspensions, updating the street lighting inventory system, creating workpacks, updating the Smartwaste system with recycling and disposal information and inputting labour and plant returns on the cost capture system.

Main Responsibilities  

As a Administrator for the Street Lighting team, you will support the Administrative Supervisor by effectively communicating all administrative issues and/or concerns to ensure that they do not adversely affect our programmed work or key stakeholders. You will be required to undertake continual checks of the permitting system to minimise fixed penalty notices and/or Section 74 penalties where non-compliance of the permit conditions and/or working codes of practices may attract penalties. You will work with ITS Street Lighting Supervisors, Brighton & Hove City Council (B&H CC), parking contractor and other stakeholders to create, issue, update and monitor parking suspensions, checking closely for accuracy, suitability and location before issue to avoid errors. You will liaise directly with ITS Supervisors and site engineers to obtain and produce information as required. A part of this role you will be required take part in general admin: taking public and business calls, ordering of office stationery, undertaking designated administration tasks, booking hotel accommodation and travel for appropriate staff as and when required, producing weekly, monthly and ad-hoc reports in relation to inventory, work completion, waste, permitting and parking and assisting with HR administration tasks (recording of Sickness and training). There will be a need to collate and enter recycling and waste information into Smartwaste database, input labour and plant returns to cost capture system (LISA) and Raise purchase orders on Colas' purchasing system (COUPA). You will maintain office systems to deal efficiently with the organisation, filing and storage of documentation and computer-based information. You will be able to understand and learn of other ITS administrator roles to cover sickness and holiday absence. To carry out other appropriate duties as assigned by your line manager. To ensure that all works carried out within the office is undertaken with full regard for the safety of yourself, colleagues, and visitors.

Ideal Candidate  

The successful candidate will have some experience/working knowledge of inventory databases and permit system would be desirable and a solid background in Administration is essential. You will be proficient in all Microsoft Office Suites (Excel, Word, Powerpoint and, SharePoint etc.), this is essential.

As an Administrator, you will be required to have strong communication, interpersonal and standard report writing skills. It is important you possess the ability to switches between tasks/projects and handle disruptions from telephone calls and electronic communications several times a day.
