About the team
Based in Mason, Ohio, this is a newly created role in our People Office team reporting to the Executive Assistant Manager. The team provides administrative support to our Senior Leadership team.
You’ll be part of the high performing, responsive and collaborative Global support team.
What you will be doing
As an administrative assistant you will support between 6 -10 Senior Leaders with meeting coordination and calendar management of both US and UK based teams.
You will support with domestic and international travel arrangements, expenses, raising purchase orders and helping raise support tickets and some ad hoc tasks at the management team’s request. You will also support with some planning and execution of site events and organization for large meetings with room bookings. This is a highly visible role working closely with stakeholders at all levels across the business and external clients, so you must have excellent communication and a high level of confidentiality is needed.
Key responsibilities:
Calendar management and planning, working with internal and external stakeholders
Arranging meetings, video conferencing and webinars
Raising purchase orders and coding items or invoices
Working closely with other EA’s and Administrative support teams to coordinate complex travel arrangements and itineraries
Composes memos and correspondence from brief verbal instructions.
Preparing documents and presentations material using Word, Excel and PowerPoint
Document production using Word, Excel and PowerPoint
Maintaining and reviewing both short and long term to-do lists of action items; keeping the Director updated on all action items arising from meetings; following up on the completion of these items
Other related duties assigned as needed.
What you bring:
